The YMCA of Greater New York is seeking a highly organized and detail-oriented IT Budget and Procurement Specialist to join our Information Technology team. This role is critical in ensuring the effective management of the IT department's budgeting and procurement processes, supporting our mission to strengthen communities through technology. The ideal candidate will have a strong background in financial planning, budget management, and procurement, with a deep understanding of IT products and services.

Key Responsibilities:

Budget Management:

  • Develop and manage the annual budget for the IT department, including forecasting, monitoring, and reporting on expenditures.

  • ​Work closely with IT leadership to identify budgetary needs and allocate resources effectively.

  • Provide financial analysis and recommendations to support decision-making and cost optimization.

  • Ensure compliance with financial policies and regulations.

  • Incident Response


Procurement:

  • Lead the procurement process for IT hardware, software, and services, including vendor research, quotation requests, and contract negotiations.

  • ​Manage vendor relationships, ensuring quality of service, compliance with contracts, and cost-effectiveness.

  • Coordinate with the legal department to ensure contracts and agreements meet organizational standards and requirements.

  • Maintain an up-to-date inventory of IT assets and manage the lifecycle of IT equipment.


Collaboration and Reporting:

  • Collaborate with IT team members and other departments to understand technology needs and priorities.

  • Prepare regular reports on budget status, procurement activities, and cost-saving initiatives for senior management.

  • Participate in IT strategy planning sessions to align budgeting and procurement with organizational goals.


Desired Skills & Experience:

  • Bachelor’s degree in Finance, Business Administration, or related field. Or equivalent work experience

  • Minimum of 3 years of experience in budgeting, financial planning, and procurement, preferably in an IT environment.

  • Strong understanding of IT products and services.

  • Excellent negotiation and vendor management skills.

  • Proficient in financial software and Microsoft Office Suite, especially Excel.

  • Strong analytical and problem-solving skills.

  • Detail-oriented with strong organizational skills.
