The Jamaica YMCA is seeking an Administrative Assistant, who under the supervision of the Senior Program Director, the the Administrative Assistant will play a critical role in the successful operation of the K/12 grade for all programs at the Jamaica YMCA. The Administrative Assistant is responsible for assisting the Senior Program Director to provide administrative oversight and support, to ensure quality program execution.

As a leading not-for-profit, community service organization, our Association relies heavily on fundraising to support the wide range of programs we proudly provide the communities we serve. Our expectation is that all staff promote participation of their branch fundraising efforts in some capacity.

Key Responsibilities:

  • Administrative Support to Senior Program Director as needed to ensure effective communication and efficient operation.
  • Responsible for assisting with organizing, auditing, and tracking related to staff personnel records.
  • Assist with filing and organize applications, register in AS400, DOE Vendor Portal and enter attendance for programs participants as needed.
  • Responsible for department inventory; create requisitions; receiving PO; resolve Invoice on Hold issues; respond to vendor inquiry and facilitate invoice for payment. 
  • Place orders in Office Depot for Youth & Family programs.
  • Help with Purchasing Card reconciliations for all transactions.
  • Ordering, receiving, and distribution of daily lunches and snacks.
  • Supporting Senior Program Director with compliance and maintaining all Department of Health regulations.
  • Properly archive participant files for storage.
  • Point person for families, when Senior Program Director is observing, coaching, training, and working with staff one on one.
  • Timekeeper for Youth & Family payroll review.
  • Uphold all Association Policies/demonstrate Values of Respect, Responsibility, Caring and Honesty. 
  • Other activities and duties as needed that address the ongoing health and well-being of our staff and members.
  • Maintain sanitary habits in accordance with CDC guidelines.
  • Other Duties as assigned.

Desired Skills & Experience:

  • Associates Degree or equivalent work experience, Bachelor’s Degree preferred.
  • Minimum of one (1) to three (3) years of experience working with staff and volunteers. 
  • General knowledge of MS Word, Excel, PowerPoint, Publisher, Oracle and ADP.
  • Excellent written and verbal communication skills.
