The Bedford-Stuyvesant YMCA is seeking an Administrative Assistant. Under the supervision of the Executive Director, the Administrative Assistant will play a critical role in the successful operation of the Board of Managers for the Bed-Stuy YMCA. The Administrative Assistant will be responsible for assisting the Executive Director in providing administrative oversight and support to ensure quality program execution. In addition, the Administrative Assistant will provide administrative support to our membership operations as necessary.

Key Responsibilities:

  • Administrative and management support to the Executive Director to ensure effective communication and efficient operation of all programs.

  • Assist with department-wide and branch communication by means of email, newsletters, orientations, etc.

  • Responsible for assisting with organizing, auditing, and tracking related to staff personnel records.

  • Maintain payment tracking/filing system for all donors using Salesforce.

  • Actively participate in training sessions, designated meetings, and special events such as board committees, board meetings, branch operation meetings, Annual fundraising initiatives, Health Kids Day, and all Open Houses.

  • Responsible for the administrative department inventory, creating requisitions, receiving POs, resolving Invoice-on-Hold issues, responding to vendor inquiries, and facilitating invoices for payment. 

  • Uphold all Association Policies and demonstrate the four core values of Respect, Responsibility, Caring, and Honesty. 

  • Provide administrative assistance to other departments as required. 

  • Provide administrative assistance to Afterschool and branch-based programs, including site coverage, as needed.

  • Other duties as assigned.


Desired Skills & Experience:

  • Associate’s degree and experience in a related field, or equivalent experience required. Bachelor’s degree preferred.

  • Two (2) to three (3) years of administrative experience and experience working with staff and volunteers.

  • Knowledge of Microsoft Office Word, Excel, Publisher, and PowerPoint.

  • Knowledge of Oracle, ADP, and Salesforce.

  • Excellent interpersonal communication – written and oral.

  • Strong interpersonal skills, leadership qualities, and comfortable working with diverse youth and adults. 

  • Excellent project management and organizational skills.

  • Must be available Monday through Wednesday from 10:00 am to 4:00 pm and Thursday from 10:00 am to 2:00 pm.
