The Harlem YMCA is seeking an Administrative Assistant, who under the supervision of the Youth and Family, the Administrative Assistant will contribute to the success of the Community School, Afterschool, Camp, Youth Sports and Teen programs, by leading and demonstrating outstanding operational efficiencies and the fulfillment of related job responsibilities. These responsibilities include but are not limited to: assisting with all aspects of Afterschool, and Camp programs.  The Administrative Assistant will play an integral role in contributing to the Youth & Family Department’s program quality, culture, success, and sustainability. 

Key Responsibilities:

  • Aggressively monitor department past due payments and prepare letters and other correspondents for parents with outstanding payments.
  • Produce and complete third party and other vendor contracts/agreements.
  • Enter applicable data in AS400 and track/process all payments for ACS, 1199- and third-party participants.
  • Operate as support with tasks related to all Community School agreements.
  • Update and maintain AS400 rosters After School and Summer Camp.
  • Support Teen Coordinator with intake of SYEP participants.
  • Produce and print all Afterschool and Summer Camp rosters in a timely manner.
  • Track, file, and maintain all Youth & Family Financial Assistance applications.
  • Assist with department new hire and on boarding as assigned.
  • Maintain and ensure compliance as it relates to all Youth & Family, Summer camp, Department of Health, SACC, Permits, and ACA requirements.
  • Input government and operational requisitions for all Youth and Family department programs as needed.
  • Produce and maintain government reports for COMPASS and DOE Reports. 
  • Manage all administrative duties (letters, memos, etc.)
  • Organize and file participant applications for After School and Summer Camp record keeping.
  • Uphold all Association Policies/ Demonstrate core values of Respect, Responsibility, Caring and Honesty.
  • Other duties as assigned – such as providing assistance to other departments as requested.
  • Other activities and duties as needed that address the ongoing health and well-being of our staff and members.
  • Maintain sanitary habits in accordance with CDC guidelines.
  • Other Duties as assigned.

Desired Skills & Experience:

  • Associates Degree or experience in related field required or equivalent work experience, Bachelor’s Degree preferred. 
  • Minimum three (3) years of experience in working with government contracts in preferred. Prior administrative experience is required.  
  • General knowledge of MS Word, Excel, and PowerPoint.
  • Certification in First Aid and CPR.
