The YMCA of Greater New York is seeking an Administrative Assistant who will provide high-level direct administrative and financial services to the EVP/CFO/Corporate Treasurer and the VP-Finance involving the use of discretion and independent judgment. In addition, provide indirect support to all areas of the department; the head of: Treasury, Accounting, Enterprise Risk Management and other duties as may be required for successful organizational results.  

Key Responsibilities:

  • Provide administrative support to C-level management as needed.
  • Manage schedules, arrange meetings and appointments, and coordinate travel arrangements.
  • Answer phone calls and respond to emails in a timely and professional manner.
  • Maintain accurate and up-to-date records and files.
  • Process and track invoices, purchase orders, and other financial documents.
  • Support the planning and implementation of special events and programs.
  • Maintain computer databases for various reports, committees and mailings.
  • Scan documents for and maintain internal electronic databases.
  • Support in the posting of documents to the Board Effect portal software in accordance with processes.
  • Support in the production and financial statements and applications, preparation of spreadsheets, reports.
  • Look for and make recommendations concerning process efficiencies.
  • Assist with the process of incoming and outgoing mail and packages.
  • Assist with the receiving and tracking of invoices for multiple vendors.
  • Order office supplies for the staff as required.
  • Other activities and duties as needed that address the ongoing health and well-being of our staff and members.
  • Follow and maintain sanitary habits in accordance with CDC guidelines.

Desired Skills & Experience:

  • Associate degree in Business Administration or other business field or equivalent work experience.
  • Minimum of two (2) years of experience as a high performing administrative assistant.  Financial service experience is a plus.
  • High level proficiency in MS Office, including Word, Excel, PowerPoint, Google Suite and Outlook applications.
  • Knowledge of Project management/Accounting & reporting skills.
  • Strong organizational, written, and verbal communication skills.
  • Ability to multitask and prioritize work in a fast-paced environment.
  • Commitment to the YMCA’s mission and values.
